Archiving and unarchiving policies

Roles and permissions

The following roles can archive and/or unarchive a policy:

  • Anyone with manager permissions on the policy

As your policy library grows, you may find that some policies are no longer needed. Archiving policies removes them from view, but doesn't completely remove them from Hyperproof. You can unarchive policies at any time if you need to access them in the future.

Note: You can't add new policy versions to an archived policy.

Archiving a policy

When you archive a policy, the policy data is altered as follows:

  • All versions of the policy are archived.

  • Control links to the policy, not the policy document, are preserved.

  • Control and requirement links to policy document sections are removed.

  • Control links to proof automatically generated from the policy are removed, such as a PDF of the policy approval or a PDF of the policy document.

  • Risk links are removed.

  • An entry is added to the Activity Feed.

  • Label links are preserved.

  • Issue links remain active.

To archive a policy:

  1. From the left menu, select Policies.

  2. Select one or more checkboxes for the policies you want to archive.

  3. Click the Archive option at the top of the window.

    The Review and confirm window displays and indicates the number of policies that will be archived.

  4. Click Confirm.

    The selected policies are archived.

Unarchiving a policy

When you archive a policy, the policy data is updated as follows:

  • If there is another policy with the same name, Hyperproof renames the unarchived policy by appending _Unarchived to the end of the name.

  • If you unarchive multiple policies with the same name, Hyperproof appends _Unarchived(1), _Unarchived (2) to the name, incrementing the number for each unarchived policy.

  • All versions of the policy are restored.

  • Control links to the policy, not the policy document, are preserved.

  • Control and requirement links to policy document sections are restored only for the effective policy document.

  • Control links to automatically generated proofs from the policy are restored, such as PDFs of the policy approval or the policy document.

  • Risk links are not restored.

  • An entry is added to the Activity Feed.

  • Label links are preserved.

  • Issue links remain active.

To unarchive a policy:

  1. From the left menu, select Policies.

  2. Click the down arrow next to Policies.

  3. Select Archived to display the list of archived Policies.

  4. Open the policy you want to unarchive.

  5. Click the Unarchive button in the banner.

    The selected policy is unarchived.
